TERMS & CONDITIONS

Kindly read the reservation terms and conditions regard responsibilities due to protect consumer and travel agency rights. All consumers are deemed to have read, understood and accepted the following reservation terms and conditions. The organizer shall be known as “Company” in the conditions below. 
RESERVATIONS & MODE OF PAYMENT
1. To confirm your reservation, kindly email, contact, fax or visit our office during office hours. A reservation fee of RM200-RM2000 per person is required upon reservation. If reservation is made less than 30 days before departure,   the whole amount must be paid upon reservation and confirmation. Balance must be made not later than 30 days before departure. Failure to comply with this may result in an automatic cancellation of your reservation.
2. Payment may be in cash, cheque or credit card. Cheques will only be accepted if presented to the Company at least 7 working days before the due date. All rates we offer are so low that we are compelled to charge a small supplement for payment by credit card.
CANCELLATION & REFUND
1. A cancellation of original booking includes any changes (at the request of the customer) in the tour reservation or departure date or do not show up at the departure time for whatever reasons and miss the flight.
2. Cancellation fees may vary during peak periods (public holidays, eve of and day after public holidays, school holidays).
3. All promotion packages must be made full payment on the payment deadline given, if cancelled the reservation, will be collect 100% of total tour fare.
『Cancellation Charges』 imposed as following:
- Between 15 to 21 working days prior to departure ; 50% of total tour fare
- Less than 14 working days prior to departure ; 80% of total tour fare
- No Show ; 100% of total tour fare
Cancellation Notice & Right to Reject
1. Cancellation of confirmed reservation, at your request, must be made in writing to avoid misunderstanding and received by the Company to be effective.
2. The Company reserves the right to withdraw any itinerary or any reservation made for a client or decline or refuse any person as a member of the tour before the commencement of the tour, if it appears to the Company that any such person is likely to endanger the health or safety, or impair the comfort and enjoyment of others on the tour.
3. In any of the foregoing events, the Company’s sole liability shall be limited to a refund on tour fare paid.
Cancellation of Tour by Company
1. We guarantee tour departure upon receipt of your tour full payment.
2. At times, due to low subscription for a particular tour, the Company may choose to cancel the entire tour. In such cases, the Company will refund any monies paid by you. The Company may, if it so chooses, recommends alternative tours preferably to the same destination or other tours to you. Should you decide not to accept the alternatives; all refunds deducting the amount paid on respective VISA fees (if any) will be paid to you within 14 days.
FULL PACKAGE RATE & ARRANGEMENT
1. No refunds can be made in respect of accommodation, meals or sightseeing tours which are included in the tour fare but not utilized by the guest for any reason whatsoever.
2. The Company reserve the rights increase the tour fare before the tour group departure, due to the currency fluctuations, increase in transport, hotel or flight ticket and etc.
3. Itinerary is for reference only, the Company reserves the rights for any necessary itinerary changes in accordance to final flight confirmation and local condition.
Tour Rate Includes
- return tour group flight ticket for economy class
- baggage allowance per person is 15kg (one piece of luggage only)  for budget Airlines and 20kg for normal Airlines
- hotel accommodation base on twin sharing
- meals as specified in the itinerary
- entrance fees as specified in the itinerary
Tour Rate Excludes
- airport taxes, fuel surcharge, flight insurance fees, visa handling fees, tipping of tour guide and driver, agent collection fees, personal travel insurance (strongly recommended), excess baggage, hotel or other portage fees, optional tours (if any), other personal expenses, items are not indicated in the itinerary
- If child height over 1.3m must direct settle the different entrance fees at visiting point
Infant and Child Rate Policy
1. Infant below 2 yrs old sharing same room with parents is charged for infant flight ticket plus taxes only.
2. Child rate eligible for child below 11 years old on the date of departure from Malaysia.
3. Child below no bed & sharing same room with parents is charged for 80%.
4. Child below twin sharing with 1 Adult is charged for 95%.
Single Supplement
1. If you wish to occupy a single room, you are required to pay a single-supplement, amount as specified in the sales invoice. The Company will confirm your request at least 14 days prior to tour departure.
Flight Ticket
1. The tour group flight ticket is a special rate ticket and restricted to Airlines terms & conditions. It has no refund value for unutilized sectors. Any alteration of the routing or change of date by guest is solely at his/her own risk. The Company shall not be held responsible for any extra expenses incurred.
2. Airport tax and fuel surcharges is subject to Airline final confirmation, if any charges adjustment, guest must pay or refund the difference even deposit have made and ticket not issue yet.
Baggage
1. Each passenger is allowed baggage not exceeding 15 or 20 kilograms. Only one piece of hand luggage is allowed.
2. Excess baggage must be paid locally by passenger.
Group Size and Tour Manager
1. Group departure subject to group size of minimum 25 adult tour members and above with an accompanying tour manager.
2. The Company reserves the rights withdraw the services of an accompanying tour manager if a tour group size below 25 adult tour members.
3. If the group departure not exceeding the minimum group size, the Company reserved right to postpone or cancel the tour group.
4. The accompanying tour manager reserves the rights to require any guest to withdraw from the tour if he/she appears likely to endanger the safety or impair the comfort and enjoyment of others during the tour, however the accompanying tour manager’s decision in this respect is final, guests may not object. The Company shall not make refund for any uncompleted part of the tour to the said guest.
EXTENSION STAYS
1. Deviation surcharge RM150 per person applied.
2. Deviation is subject to airline confirmation, when deviation is unable to be confirmed, guests are deemed to be taking the original flight schedule, the Company shall not be held responsible for any inconvenience caused. Reverting to the original flight schedule is not permitted once it has been confirmed.
3. Those guests who are left the tour group, airport transfer and the extension of stay of all costs will be responsible by the guests.
TRAVELLING DOCUMENTS
1. It is the guest’s responsibility to ensure that they have a valid international passport with minimum six (6) months    validity from the date of departure, relevant visas must be ready before departure.
2. We provide visas application services, please note that the issuance of visas is subject to approval by the respective embassies.
3. Deportation of refusal of entry for guest by immigration Authorities resulting from the possession of any causes, the Company shall not be held responsible for any extra expense incurred, and the Company shall not make refund of the paid tour fare.
TRAVEL INSURANCE
1. The Company can offer guest a few choice of travel insurance. Guests are advice to purchase personal travel insurance of your choice, to ensure you have the full protection during the tour journey.
RESPONSIBILITIES DECLARATION
1. The Company act only as agents for the airline, transportation companies and hotel, any baggage loss, accident injury or loss and etc, are subject to those terms and contracts under which these services are provided, the Company and/or its associated agents shall not responsible and expressly disclaim any liability for any accident injury, illness, damage, loss or irregularities that may be caused to person or property and all reservation are subject to the usual terms and conditions and contract of the owner or operator of the services involved.
2. Every guest participating in any tour group organized by the Company shall be regarded in every respect as carrying his/her own risk, the Company shall not be held responsible to any person  as a result of the following:-
- Inaccuracy, misdescription or changes to any tour or its itinerary.
- Additional expense due to delays or changes in air or any transport services, sickness, weather, strikes, war, quarantine or other natural causes and orders from the Government of Malaysia and/or other countries.
- The Company assumes no liability for any damage of lost baggage, personal effects or accident. It is the responsibility of the traveler to effect of travel insurance. All guest are recommended to purchase a travel insurance to ensure have the full protection during the tour journey.
- Deportation of refusal of entry for guest by immigration Authorities resulting from the possession of unlawful items or holding improper travel documents or other causes or whose behavior and activities are considered as  subversive by the foreign government concerned, the Company shall not be held responsible.
3. All complaints must be made in writing within 7 working days after the completion tour. The Company will not entertain any late complaint.
4. The Company reserves the right to utilize any group photograph(s) taken during the tour for the commercial purpose.
These reservation terms & conditions cannot be altered or waived except by Pancawarna Tour & Services (M) Sdn Bhd.
